Business owners prudently purchase QuickBooks with the best of intentions to maximize the program’s amazing potential—and it truly is an incredible business tool--but soon discover:

·         QuickBooks, although vastly superior to paper ledger systems, is complex software with a serious learning curve.  And remember: QuickBooks does not teach anything about bookkeeping.

·         Bookkeeping itself...scary. It’s needs to be accurate, and folks that don’t have a financial background often find themselves intimidated. To complicate matters, data entered into QuickBooks can be incorrect or inaccurate but still accepted and processed. QuickBooks often “assumes” what to do with transactions, and it can assume incorrectly.

·         Most small business—even with the best of intentions—develop inconsistent, sloppy, or ineffective systems for handling paperwork and documentation. There's a lot vying for your attention, and bookkeeping tasks get put off…and off…and off…

·         Most people learn by repetition, and don’t spend enough time using QuickBooks to develop comfort and fluency. Therefore, there ends up being no one in the organization who really enjoys the bookkeeping tasks: not the owner, not the owner’s wife, not the office helper.

 ·         Invoices get paid on time, avoiding late fees and duplication.Vendor billing errors get discovered and handled. If your vendor calls with a billing question, the information you need is at your fingertips. The same goes for customers—you know who owes you how much money, and when invoicing occurs. You won’t have to keep all this information in your head anymore!

 ·         It’s always a good idea to get rid of the deadwood: operating expenses and cash flows are understood; and expense habits can be studied and adapted. You know where money gets spent, and where savings can be found, and where available cash is.

 ·         Bank and credit card accounts are reconciled each month. You can see how often you REALLY pull out the credit and debit cards.

 ·         At any time, you can present an accurate set of books to your accountant.  Accountants charge by the hour; those dollars and his education are better used for professional financial analysis than for data entry and bookkeeping corrections. Adjusting entries can be made to show accurate cash flow.

 ·         Do you plan to seek a loan or a line of credit? Having a good financial management system won't guarantee success with a lender, but the lack of one promises failure. Take accurate up-to-date financial statements with you to the bank or vendor.

 ·         No overwhelming pile of paper invoices, reconciliations, and duplicate paperwork, and you can stop worrying about how that pile is going to be handled and concentrate on building your business.
